Scope
This Privacy Policy explains how People Powered Technologies LLC collects, uses, discloses, and protects information through PeopleHarbor, including the PeopleHarbor web application, the live website at getpeoplepowered.com and related domains, and the PeopleHarbor iPhone and Android apps.
PeopleHarbor is primarily a business operations platform used by organizations and their authorized administrators, managers, employees, instructors, and staff. Where an organization provides, uploads, imports, or connects information about its employees, students, customers, locations, inventory, schedules, or operations, PeopleHarbor processes that information on behalf of that organization.
Information We Collect
We collect information that users, customer organizations, integrations, devices, browsers, and app infrastructure provide to us. Depending on the modules enabled by a customer organization, this may include:
- Account and identity information, such as name, email address, password credentials, account identifiers, tenant or organization membership, role, permission profile, account status, profile preferences, authentication/session information, and user settings.
- Employee and workforce information, such as employee profile details, directory information, emergency contact information, onboarding records, documents and acknowledgements, certifications, training records, PTO and time-off records, pay-rate and payroll-related configuration, schedules, availability, time entries, time-clock audit logs, internal systems assigned to employees, and employee asset or inventory assignments.
- Location, operations, and inventory information, such as business location records, location certifications, location forms and submissions, incident records, action items, stock levels, purchase orders, fulfillment requests, suppliers, couriers, inventory movements, attachments, and related operational notes.
- Student, class, attendance, and skill-tracking information imported from Jackrabbit or uploaded by authorized users, such as student names, student identifiers, contact email addresses, dates of birth where provided by the source system, class attendance, instructors, skill states, skill notes, skill change history, and report-ingest logs.
- Messages, feedback, and user-generated content, such as in-app messages, message attachments, reactions, support or feedback submissions, integration requests, open-ended form answers, notes, comments, and files uploaded to the service.
- Device, app, and usage information, such as browser type, IP address, approximate region derived from technical request data, device identifiers used for push notifications, mobile platform, app interactions, pages viewed, feature usage, diagnostics, error logs, and security/audit events.
If enabled by an organization, PeopleHarbor may collect device latitude and longitude when a user clocks in or clocks out. The mobile apps request location permission for this purpose. PeopleHarbor does not request background location permission in the current mobile apps and does not continuously track location in the background.
If a user enables App Lock in the mobile app, biometric verification is handled by the device operating system. PeopleHarbor does not receive or store face, fingerprint, or other biometric templates. The app stores the App Lock setting locally on the device.
We also use cookies and similar technologies, including session cookies, tenant-selection cookies, password-reset cookies, integration-state cookies, and basic website/app analytics events used to operate, secure, and improve the service.
How We Collect Information
We collect information directly from users when they create accounts, sign in, configure settings, submit forms, upload files, send messages, clock in or out, provide feedback, or otherwise use PeopleHarbor.
We collect information from customer organizations and their authorized administrators when they add users, manage employees and locations, upload files, configure modules, import records, or connect integrations.
We collect information from integrations that a customer or authorized administrator enables, such as Jackrabbit data workflows, Google Drive document backup workflows, address verification providers, email delivery providers, push notification services, and hosting, database, and storage providers.
We collect some technical information automatically when users visit the website, use the web application, or use the mobile apps.
How We Use Information
We use information to:
- Provide and operate PeopleHarbor, including authentication, tenant management, role-based access, employee management, location management, inventory operations, messaging, training, certifications, timekeeping, PTO, scheduling, Jackrabbit data workflows, reporting, notifications, and support.
- Process data on behalf of customer organizations according to their configuration, instructions, enabled modules, and authorized user actions.
- Send operational communications, such as account invites, password reset emails, notification emails, push notifications, status updates, reminders, alerts, and support responses.
- Secure the service, detect and prevent fraud or misuse, maintain audit logs, enforce permissions, debug issues, monitor performance, and protect users and customer organizations.
- Improve PeopleHarbor, including analyzing feature usage, diagnosing errors, developing new functionality, and measuring website interest in PeopleHarbor products.
- Comply with legal obligations, resolve disputes, enforce agreements, and respond to lawful requests.
How We Share Information
We may share information:
- With the customer organization that controls the relevant workspace or tenant. Administrators and other authorized users may be able to view, export, update, or delete information according to their permissions.
- With service providers that help us operate PeopleHarbor, such as hosting, database, file storage, email delivery, push notification, address verification, analytics, security, diagnostics, and customer-support providers. These providers are permitted to process information only for the services they provide to us or our customers.
- With integrations enabled by an authorized customer or user, such as Jackrabbit, Google Drive, or other connected services. Information shared through integrations depends on the integration settings and user actions.
- With legal, compliance, and safety recipients when required by law, court order, subpoena, government request, or when we believe disclosure is necessary to protect rights, safety, security, or the integrity of PeopleHarbor.
- With a successor or affiliate in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to appropriate confidentiality and privacy protections.
We do not sell personal information for money. We do not use sensitive employee, student, time-clock location, or customer operational data for third-party targeted advertising.
Children and Student Information
PeopleHarbor is not directed to children and is not intended for direct use by children. Customer organizations may use PeopleHarbor to process student information, including information about minors, for legitimate operational, attendance, training, compliance, and reporting purposes.
When PeopleHarbor processes student or child information provided by a customer organization, we do so as a service provider or processor for that organization. The customer organization is responsible for obtaining any required notices, consents, or authorizations from parents, guardians, schools, students, or other parties where required by law.
Data Retention
We retain information for as long as needed to provide PeopleHarbor, maintain customer records, support audit and compliance features, resolve disputes, comply with legal obligations, and enforce agreements. Retention periods may vary by module, customer configuration, legal requirement, and record type.
For example, audit logs, timekeeping records, training records, certifications, attendance records, and skill-change history may be retained for operational, compliance, payroll, or dispute-resolution purposes unless deleted according to customer instructions and applicable law.
Raw uploaded import files are intended to be temporary unless a customer explicitly configures or requests archival storage.
Security
We use administrative, technical, and organizational safeguards designed to protect information, including authenticated access, role-based permissions, encrypted transport where supported, secure password handling, audit logging, and restricted service-provider access. No method of transmission or storage is completely secure.
Users and customer administrators are responsible for using strong passwords, protecting account access, managing permissions carefully, and promptly notifying us of suspected unauthorized access.
Your Choices and Rights
Users may be able to update profile information, notification preferences, theme preferences, and mobile App Lock settings directly in PeopleHarbor. Users may control mobile permissions, including location and notifications, through iOS or Android device settings.
Depending on where you live, you may have rights to request access, correction, deletion, restriction, portability, or objection regarding personal information. If your account is provided by your employer, franchise, school, or other organization, we may direct your request to that organization because it controls the workspace data.
To make a privacy request, contact us at [email protected]. To request deletion of your PeopleHarbor account or specific associated data, visit Account deletion. We may need to verify your identity and your relationship to the relevant customer organization before acting on a request.
International Processing
PeopleHarbor is operated from the United States. Information may be processed in the United States and other locations where we or our service providers operate. If you access PeopleHarbor from outside the United States, you understand that information may be transferred to and processed in the United States, where privacy laws may differ from those in your location.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date and provide notice as required by law or appropriate to the nature of the change. Continued use of PeopleHarbor after an updated policy becomes effective means the updated policy applies to future use of the service.
